Indemnification & Liability Waiver
Guests are responsible for their own safety and that of their group. By staying with us, you agree to:
Assume all responsibility for accidents, injuries, or damages on the property or within the surrounding community amenities.
Indemnify and hold harmless Mountainside Getaways, property owners, and community associations.
Supervise all children and pets at all times.
This includes (but is not limited to) use of: Fireplaces, hot tubs, pools, BBQs, playgrounds, trails, water access, fire pits, and any recreational equipment or amenities.

Booking & Payments
Direct Bookings:
A 10% deposit is required to confirm your reservation.
The remaining balance is due 20 days prior to check-in.
Third-Party Bookings (e.g., Airbnb, VRBO):
Payment, deposits, and policies are managed by the respective platform.
Cancellation Policy (Direct Bookings)
$25 processing fee applies to all cancellations.
30+ days before check-in: Full refund minus fee.
15–29 days before: 50% refund minus fee.
14 or fewer days: Non-refundable.
No refunds for early/mid-stay checkouts.
Third-Party Bookings:
Follow the platform’s cancellation policy.
$25 processing fee still applies.

Access & Check-In Instructions
Arrival instructions (including lockbox codes and directions) will be emailed after your rental agreement is signed and within 3 days of arrival.
GPS may be unreliable — follow the directions provided in your arrival email.
Check-In / Check-Out
Check-In:
After 4:00 PM only
Early check-in must be requested and approved in advance.
Unauthorized early entry will incur a fee of $50/hour.
Check-Out:
As posted on your booking and arrival form.
Late check-out incurs $50/hour until 4:00 PM.
After 4:00 PM = Full additional night charge.
In back-to-back bookings, we reserve the right to remove belongings if check-out is not on time.
Long-Term Stays (10+ Days)
Weekly inspections of the property, including interior, exterior, and hot tub (if applicable).
Guests will be notified 24 hours in advance.
Pets must be secured during inspections.

Community Rules & Behavior
Quiet Hours:
From dusk to dawn
Respect neighbors and community rules.
Strictly Prohibited:
Fireworks
Firearms, BB/pellet guns
ATVs
Open fires outside designated fire pits
Loud parties or disruptive behavior
Violations may result in immediate eviction without refund and fines up to $500.

Community Amenities & Access
General Use:
All use is at your own risk and must follow posted community rules.
Coolfont Mountainside:
No RVs in driveways; overflow parking available.
Pool passes must be returned or a $50 fee applies.
Day passes (indoor pool & gym): Must be reserved 48 hours before arrival.
River Ridge:
Gate access via Gate Code/keycard and lockbox code.
Do not force open the gate, community fines will apply if done.
GPS is inaccurate — use provided directions.
The Woods Resort:
Reserve passes 48 hours prior for amenities.
Golf and spa bookings must be made directly through the Woods Resort.
Cacapon River Rapids:
No pass required for river access.
Vehicle info must be submitted in advance.

Keys, Passes, & Vehicle Info
All keys must be returned to the lockbox.
Lost keys will incur re-keying fees.
Pool and gate passes must be returned to the property.
No parking vehicles in yards or roadways, overflow parking is available in some communities if needed.
Provide make/model/license plate of all vehicles prior to arrival.

Property Care & Damages
Property must be left reasonably clean and undamaged.
Minimum $100 charge for excessive cleaning, damage, or theft.
Credit card on file may be charged for violations.
Guest Count & Visitors
Only registered guests allowed on property.
Additional guests must be pre-approved.
Unauthorized guests = $25 per person, per night and possible eviction.

Pets
Non-Pet-Friendly Cabins:
No pets allowed at any time.
Pet-Friendly Cabins:
Pet fee must be paid in advance.
Pets must be crated when unattended and not allowed on furniture.
Clean up after your pet — $100 fee minimum if feces are found.
Use vacuum if pet sheds.
Bring your own pet supplies.
Leash Law:
Pets must always be leashed when outside.
Violations may result in fines or eviction.

PRIVATE HOT TUB AND/OR SAUNA USE
If your rental includes a private hot tub and/or sauna, you are solely responsible for your safety while using these amenities. All guests must follow the rules and recommendations below:
No glass or food in or around the hot tub or sauna.
Enter and exit at your own risk.
Shower before use.
Children must be supervised at all times.
Consult a physician before use if pregnant or if you have any health concerns.
Limit use to 15-minute intervals.
No jumping, diving, or running.
Maximum temperature should not exceed 104°F.
Do not use oils, soaps, or bath products in the hot tub. Doing so will result in a minimum $250 cleaning fee. Guests must not tamper with or add chemicals to the hot tub. Our hot tubs are professionally maintained and monitored by certified pool operators. Pets are strictly prohibited in hot tubs.
Guests agree to pay a minimum $250 fee if the hot tub or sauna is misused or requires special cleaning or servicing after checkout. Always replace and securely fasten the hot tub cover when not in use and before departure. This prevents accidents and damage from debris. Guests will be financially responsible for any damages caused due to the hot tub being left uncovered.

AGE REQUIREMENTS / FALSE PRETENSES
All reservations must be made by an adult at least 25 years of age. The reservation holder is responsible for all actions and damages caused by any accompanying guests under 25. All guests must be declared at the time of booking, and occupancy must not exceed the property’s stated maximum. Misrepresentation of age or group size is considered a rental under false pretenses and will result in immediate eviction without refund.

OWNER’S CLOSET
Each property includes a locked Owner or Agent’s closet. This space is not included in the rental. Unauthorized access will result in an additional charge.

BBQ GRILL
Guests are responsible for monitoring BBQ grills at all times while in use and during cooldown. Do not use during windy conditions. Prior to use, identify the nearest water source and fire extinguisher. Charcoal and lighter fluid are not permitted in propane grills. If your rental includes a propane grill, ensure the propane tank is turned off after use. All grill types must be cleaned after your use to assist with animal control. Grills left with food/food debris will be incur a $35 cleaning fee. We make every effort to provide propane for properties with propane grills.

WOOD-BURNING STOVES / FIREPLACES / FIRE PITS
Indoor wood-burning devices are available seasonally (Oct 1-April 15). Firewood may be purchased for a fee and must be requested 48 hours in advance. Guests must know the location of the fire extinguisher before use of any wood burning sources.
Never leave fires unattended.
Do not use during windy or dry conditions.
Use only 3 standard-sized logs at a time.
Do not burn charcoal, accelerants, or other materials.
Never extinguish indoor woodstoves/fireplaces with water—this can damage the unit.
Do not dispose of hot ashes or coals in the trash or outdoors.
All firewood debris must remain in the designated fire area.
Absolutely no hand-built or open fires are allowed. Unauthorized fires will result in a fine of no less than $500. For propane fire pits, ensure the propane tank is turned off when not in use and prior to departure.

HVAC UNITS
Properties with central heating and cooling systems are operated via a wall thermostat.
Heating: Do not set the temperature above 75°F—this can cause the system to freeze.
Cooling: Do not set the temperature below 68°F—this can also cause the system to freeze.

Rustic cabin with modern amenities

We enjoyed our stay in the cabin. It’s a perfect outdoor getaway. Kitchen was very spacious and new! Our only complaint is there wasn’t instructions on how to operate the living room fireplace which is the only heat in that room
